The Leads page is the main leads database which stores active leads and leads that you intend to market to.


There is a lot of functionality with the Leads page so we have broken this article down into the following sections:

1. Visual Adjustments

# of Leads Displayed: To adjust the number of leads that are displayed per page, select the dropdown as shown below.



Show/Hide Columns: To add/remove or to modify the order of the display columns, click the Gear icon on the top right of the lead list.




The Show/Hide Columns popup will appear allowing you to organize the display columns. All default and custom column fields are displayed. To display the column, check the box. 



Columns at the top of the Show/Hide Columns list will appear first left to right in the Leads page. A column can be reordered by clicking and dragging up or down to its desired location. When done, click Save.



Selecting/Deselecting Leads: To select a lead, check the empty box to the left of the lead. To select all leads on the current page, click the down arrow to the left of the Property Address column header and click Select Visible. To select all leads on the list, click Select All. To deselect a lead, uncheck the box to the left of the lead. To deselect all leads, uncheck the box to the left of the Property Address column header.


Sorting: Leads can be sorted in ascending or descending order by clicking any column header.



Scrolling through Pages: To navigate through lead pages, click the navigation arrows on the top right of the lead list. The left arrow will take you to the previous page and the right arrow will take you to the next page. Skip to the beginning by clicking on the "1" or skip to the end by clicking on the last page number. The leads you are viewing and the total number of leads will be shown to the left of the page navigation. In this picture, the lead list is currently showing leads 1-100 of 18,271 total leads. The next page will display 101-200 of 18,271 and so on.  




2. Searching

There are 2 ways to search for leads. 


  1. Basic Search: using the Search Bar at the top of the screen, type in an address or name, hit the Enter key, or click the Magnifying Glass. To remove the search, clear the words from the Search Bar.


2. Advanced Search: for more advanced search functionality, click the Filter button next to the Search Bar. There are over 35 filters to select from to allow customization. To learn more, refer to the Filters & Markets article.



3. Manually Creating a Lead

To create a new lead, click the Add Lead button. 



Input all applicable information. Please note that required fields are marked with an asterisk.



Click Save.



4. Modifying Leads


View Lead Details/History

To view the lead's details and history, click on the Property Address (in blue font) or click the Eye icon to the right of the lead, under the Action column. To learn more about the Lead Details/History pages, refer to this article.


Add/Remove from Lists

To add leads to a new or existing Lead List, select the leads, click List, and then Add to List.



To add leads to an existing list, click Lead List Type from the dropdown menu and then Save.



To add leads to a new list, enter the new Lead List Type name and provide further details about the Lead List Type. Fill in necessary fields and click Save. To learn more about these fields, refer to the Lead List Details article.



To remove leads from a Lead List, select the leads, click List, and then Remove from List.


Select a Lead List Type from the dropdown. The list will only present the Lead Lists that the leads are currently on. Click Save.



Add/Remove Tags

To add leads to a new or existing Tag, select the leads, click Tag, and then Add Tag.


Enter a new Tag name or select it from the dropdown. Multiple Tags may be added. Click Save.



To remove leads from a Tag, select the leads, click List, and then Remove Tag.


Select a Tag from the dropdown. The list will only present the Tags that the leads are currently on. Click Save.




Removing a Lead from Leads List

When a lead is removed from the Leads page, it will automatically move to the Removed Leads page. In addition, this will remove the lead from future marketing campaigns. Once a lead is moved to the Removed Leads page, it can only be moved back to the Leads page is by doing one of the following: 1) manually adding it back, 2) by fulfilling Update Undeliverable Addresses for your Undeliverable mail which will skip trace for new addresses and automatically add them back into your Leads page if a new address is found, or 3) by importing a list using the Update Undeliverables option.


There are many instances where a lead should be removed from your Lead page:

  1. Undeliverable: Remove undeliverables to reduce the amount of returned mail you receive. Once the lead is moved to the Removed Leads page, you can select Update Undeliverables from the Removed Leads page to skip trace for new addresses. To learn more, refer to the Removed Leads Page article.
  2. Do Not Contact: If a lead asks you to stop mailing them, select Do Not Contact to move them to the Removed Leads page.
  3. Sold House: Remove sold homes off of your list.
  4. Working Lead: Once you have connected with a lead, mark them as Working Lead to signify the lead is now being managed through your CRM. For a cutting edge CRM that integrates into OLM InvestorHub and will automatically update statuses, check out OLM DealFlow.


Deleting Leads

To delete an individual lead, click the Trash icon to the right of the lead under Action.


To delete multiple leads, check the leads and then click Delete. When the delete prompt appears, click Yes, delete it!




5. Marketing & Fulfillment

To get the most out of OLM InvestorHub, create Marketing Campaigns. To do this, you must first assign your leads to Marketing Batches. A Marketing Batch is a group of leads that you will market to in the same way and at the same time. To learn more, refer to the Marketing Batch article.


To fulfill marketing and services without adding leads to a Marketing Batch, simply check the desired leads and then click Marketing and then Fulfillment. This will take you into the Fulfillment page. To learn more, refer to the Fulfillment Overview article.



6. Exporting Leads

To export leads, select the desired leads and click Export.


In the Export menu, enter the Export Name and select an Export Reason. This is important: If you are exporting leads to fulfill marketing, be sure to select Marketing for the Export Reason, specify the Marketing Type, and the Start Date of Marketing Activity. When you do this, you will add a Marketing Activity to each lead in their History page and you will increase the Number of Marketing Activities field by 1. The Marketing Activity will display the Type, Date and Status as Exported.




When exporting for a reason other than marketing, select Other and add a Reason for Export. Then click Export. Your leads will begin to export. Once complete, you will be able to download your leads from the Export History page. To learn more about exports, refer to Import & Export History.
